Lung Cancer Europe (LuCE) has a new opportunity for part-time administration support for our small but active team driving our worthy projects. This role is hybrid, home-based and with flexible working hours up to approximately 15 hours / two days a week. Is this role for you or do you know anyone who would be interested.

Responsibilities

• Internal communications within the Executive Team using Microsoft Teams and email
• External communications with Members using email and Members Site (in SharePoint)
• Attend meetings and take meeting minutes
• Assist the executive officer and project managers with the management of project tasks and budgets
• Support the executive officer in organising conference facilities, hotels, and other logistic requirements related to LuCE meetings as required
• Manage the Financial workflow system for invoices, receipts, and travel reimbursements
• Write documentation
• Support LuCE internal policy generation and documentation updates
• Coordinate and follow up with team and members for News and Events items on LuCE Members Site and LuCE websites
• Create monthly newsletter (SharePoint digest)
• Setup surveys (Microsoft forms)
• Keep SharePoint lists with Members, Supporters, and other information up to date
• Interface and communicate with contractors, where possible
• Monitor the [email protected] inbox and handle all communications
• Respond to forum posts on the Members Site
• Provide technical support to the Internal Team and Members on Microsoft Office 365 and SharePoint
• Specific project tasks – Such as basic communications and follow-up reminders
• File management of all documents in the appropriate SharePoint folder
• Keep track of all items worked on in Monday.com > Agile projects
• Track time worked in Monday.com
• Export content for monthly report to board from monday.com
• Support the Executive Officer or Project Managers with ad hoc activities

Technical skills
• Competence in Microsoft Office 365: Word, PowerPoint, Excel, Outlook, SharePoint

Languages
• Fluent English speaker
• English is the working language of LuCE

Reporting structure
• Reports to the Executive Officer
• Project related items reported to the Senior Project Manager
